Compensation: $55,000 – $67,000 USD

Job Summary:

  • Manage the intake and sales of new consulting projects on a rotating schedule with other Project Coordinators in Consulting Services, covering EST hours.
  • Respond in a timely, comprehensive, and appropriate manner to incoming member requests, making members aware of and recommending Tessitura Network technology, functionality, and services that align with their business needs and may lead to their greater success
  • Work with business and technical consultants to scope out projects using an established framework of consulting project types, translating business needs into comprehensive project plans including objectives, timelines, deliverables, and budgets
  • Proactively manage a portfolio of small and medium sized consulting projects with organizations of all sizes, including:
    • Project resourcing and ongoing resource management
    • Maintaining communication with Tessitura and member project teams, providing regular updates on status, especially around milestones and changes
    • Managing the scope, budget, and timeline, tracking current actual hours against allocated/approved time, alerting project team of any budget or timeline issues, and escalating them to project leadership in a timeline fashion
    • Timely and accurate approval of hours for billing
    • Timely project closure once work is complete: securing member sign off on work accomplished, ensuring all needs are met and no additional scope is required, closure of project in all internal systems/tools, recording of any notes about the project at closure
  • Provide coordination between Consulting Services and wider Professional Services group as well as Support to ensure a smooth member experience
  • Project, track, and own key portfolio and individual project success metrics.
  • Contribute to the creation and management of high-functioning and efficient workflows and processes to support department work
  • Be responsive to members and provide them with excellent customer service.
  • Support member community and conference activities, including planning and preparation
  • Achieve allocated to actual hours goal each month and submit hours and reimbursable expenses in a timely manner
  • Perform other job-related duties as assigned

Required Skills and Experience

  • 5+ years of experience in the arts and culture field
  • Broad knowledge in project coordination
  • Ability to work independently and effectively from a home office as part of a global, virtual company
  • Proven ability to juggle multiple projects at a time, while maintaining sharp attention to detail
  • Adept in explaining technical information to non-technical audiences
  • Excellent verbal and written communication skills
  • Excellent listening, negotiation, relationship building, and presentation abilities
  • Ability to work calmly, effectively, and flexibly with a wide diversity of personalities
  • Aptitude to pick up new concepts and technology rapidly
  • Skilled at setting and meeting timelines
  • Strong problem-solving skills
  • Proficient with CRM software and the Microsoft Office Suite
  • Open to some travel requirements for Tessitura events
  • Reside in U.S. Eastern Time Zone (or willingness to work those hours)

Preferred Skills and Experience

  • Foundational knowledge in a one of the following areas: Fundraising, Marketing, and/or Ticketing
  • Familiarity with Tessitura Network technology, functionality, and services
